Launching a private label cooking oil, step by step

How a private label cooking oil goes from idea to shelf: choosing the oil and bottle, label rules, samples, quality checks, packing and delivery terms.

Launching a private label cooking oil, step by step

Who this guide is for

Retail chains, wholesalers, online grocers and importers all launch their own oil brands for the same reason: a product they control, with a margin they set and a label nobody else can sell. The production side is handled by the bottler. Your side is the brief, the brand and the approvals.

The order of work matters. Many projects stall because artwork is designed before the bottle is chosen, or because label text is written before anyone checks the rules of the destination market. The steps below follow the sequence we see working best when a client comes to us for private label bottling services.

A realistic plan also leaves room for things outside the bottler's control: label printing, listing meetings with the retail buyer, and import registration in some countries. If the brand has to be on the shelf for a seasonal promotion, work back from that date and give each step its own deadline.

The process from first brief to loaded truck

Brief and market check

Define the market, the shelf price range and the channel: discount chain, mid market supermarket, online store or cash and carry. This decides almost everything that follows.

Oil type and formula

Choose the oil or blend. Refined sunflower is the volume product in most markets; rapeseed, soybean, sunflower and rapeseed blends and high oleic sunflower fill other niches.

Bottle format

Pick the volumes and bottle shapes from the bottler's range. Each format comes with its own label size, box and pallet pattern.

Label design and legal text

Write the mandatory text for the destination country first, then design around it. Approve a printer's proof, not only a screen file.

Samples and specification

Taste and test samples of the exact oil you will sell and fix the specification in the contract.

Order and production slot

Confirm volumes per SKU, label stock and the production date. Labels usually need to be printed before the line can run.

Quality control and documents

Each batch is checked by the bottler's lab. Agree which certificates travel with the goods.

Packing and delivery

Bottles are boxed, palletised and loaded into trucks or containers under the agreed Incoterm.

Choosing the oil

Most private label ranges start with refined sunflower oil. It is clear, neutral in taste and suits frying, baking and dressings, which makes it the default choice in Eastern and Central Europe, the Middle East and much of Africa. A refined, deodorised and winterised oil stays clear on a cold shelf, which customers read as a quality signal.

In markets where rapeseed oil is familiar, a bottle of refined rapeseed oil can sit next to the sunflower SKU. refined soybean oil is common in markets that cook mostly with soy, and in food service. A sunflower and rapeseed blend lets you balance price and fatty acid profile, while high oleic sunflower oil can carry a premium for its frying stability.

Start with one or two oils and add more when the first ones sell. Every extra oil multiplies the number of labels, boxes and stock lines you need to manage. Sales data from the first three to six months will tell you far more about the next SKU than any forecast made before launch.

Bottle sizes and where they sell

Typical uses of each volume. Our range runs from 850 ml to 10 L in PET.

Bottle sizes and where they sell
VolumeTypical channelNotes
850 ml - 1 LSupermarkets, convenience stores, online groceryThe price-setting format; most shoppers compare this size.
1.5 - 2 LSupermarkets, family purchaseLower price per litre, still easy to pour.
3 LHypermarkets, cash and carry, small cafesNeeds a handle; good for promotions.
5 LCash and carry, large families, small HoReCaA strong volume seller in many markets.
10 LHoReCa, wholesale, institutional kitchensOften sold by distributors rather than on the retail shelf.

Our house lines show how these sizes combine in practice: Classic, Sunrise, Harvest Essence, PureSun and SunRich Deluxe each use a different mix of formats.

What drives the price of a private label bottle

The oil itself is the largest part of the cost, and its price follows the seed market. Sunflower oil prices move with the harvest in the Black Sea region, so a quote is usually valid for a limited time. Some buyers fix the price for a period and volume, others agree a formula linked to a market reference. Both approaches work if they are written down clearly.

Packaging comes next. The PET preform, cap, handle, label and box all add cost, and small runs of a special bottle shape cost more per unit than a standard bottle. A custom shape can make sense for a large chain with steady volumes; for a first launch, a standard bottle with a strong label is usually the better value.

Then come freight and duties. Oil is heavy, so the price per bottle delivered depends a lot on how well the pallets fill the truck or container and on the delivery term. When you compare offers, compare them on the same basis: the same oil, the same format and the same Incoterm, ideally to your own warehouse.

The label: rules first, design second

Every market has its own labelling law, and the text must be in the local language. In the European Union, Regulation (EU) No 1169/2011 sets the mandatory food information: the name of the food, the ingredients, the net quantity, the best before date, storage conditions, the name and address of the food business operator responsible, the nutrition declaration and the lot. Other markets have similar lists, sometimes with extra items such as an importer's licence number.

Get this text checked by your regulatory team or a local consultant before design starts. Then the designer knows how much space is left for the brand. Our graphic design team can create a new label or adapt an existing one, but responsibility for legal compliance in your market should sit with the brand owner.

Do not forget the barcode. The EAN code belongs to the brand owner and is issued through the national GS1 organisation. A wrong or borrowed code causes listing problems with retailers.

Samples, specification and quality checks

Ask for samples of the actual oil, not a generic sample from stock, and test them in your own lab or a lab you trust. Fix the agreed parameters in the contract, for example acid value, peroxide value, moisture and colour, and agree on the sampling procedure and the retained samples.

A blind taste test against the market leader is worth the effort. Shoppers rarely read a specification, but they notice an oil that smells of seeds or turns cloudy in a cold storeroom. For a refined oil, the target is a clean, neutral smell and a clear look at the temperatures your shelves will see.

Our laboratory checks incoming seeds, the process and every finished batch, including crude, refined and bottled oil. Bottled oil has a shelf life of up to 24 months when stored at 6 to 30 °C. Ask for the certificates your buyers and customs authorities need, and agree in advance which documents travel with each shipment.

Packing, loading and delivery terms

Boxes and pallets are where small decisions turn into freight costs. A box that fits the pallet badly can cost you a full layer per pallet. We load bottled oil in trucks with 32 or 33 pallets or in 40'HC containers loaded by boxes, and the bottle and box choice should be made with that in mind.

We deliver under FCA, CFR, CIF, DAP or DDP. Retail chains often prefer DAP to their distribution centre, while importers with their own forwarder use FCA. The loading point and delivery term are fixed in the contract for each order. If you also need packaged oil for restaurants, our professional deep-frying oils come in 1 to 20 L packs, bag-in-box and HDPE jerry cans, and can carry your label too.

Mistakes we see most often

Too many SKUs at launch

Five sizes of three oils means fifteen labels and slow stock rotation. Launch with the core sizes and expand on sales data.

Artwork before the bottle

Label dimensions depend on the bottle. Choose the format first or the design will need redrawing.

Late label printing

Production cannot start without labels. Build print time and delivery of label stock into the plan.

Legal text copied from another market

Rules differ between countries. A label that is fine in one market can be rejected by the inspector in the next.

Ignoring the pallet

Box size and pallet pattern drive the cost per bottle delivered. Check them before you sign off the packaging.
